• Responsibilities include but are not limited to: • Carrying-out administrative duties such as data entry, typing, copying, binding, scanning etc. • Organizing journey and relevant arrangements for project senior management. • Writing letters and emails on behalf of other office staff. • Booking conference calls, couriers, hotels etc. • Processing expenses sheets and invoices. • Tracking office supply inventory and approves supply orders • Maintaining computer and manual filing systems. • Provide information to internal colleaguesexternal enquirers. • Arranging the site management meetings and preparing accurate minutes of meetings. • Coordinating with corporate management and implementing the office procedures. • Replying to email, telephoneface to face enquiries. • Develop and update administrative systems to make them more efficient. • Resolve administrative problems. • Receiving, sorting and distributing the post. • Maintaining up-to-date employee holiday/ vacation records. • Coordinating repairs to office equipment. • Greeting and assisting visitors to the office. • Assisting office staff in maintaining files and databases. • Preparing reports, presentations, memorandums, proposals and correspondence. • Monitoring office operations. • Tracking and process annual fixed asset inventory • Verifying the employees in/out attendance log and generating the monthly attendance log.
